Mercury 360 Co. owns and operates Mercury 360 Co., an Applicant Tracking System (ATS) offered as a software-as-a-service (SaaS) platform, along with its associated marketing website.

Together, these services enable organizations to manage recruitment workflows and related hiring operations. This Privacy Policy explains what information we collect, how we use it, how we protect it, and the rights and choices available to individuals regarding their personal data.

Scope and Definitions

This Privacy Policy applies to all persons who access or use the Mercury 360 Co., the marketing website, or any related service provided by Mercury 360 Co..

  • Tenant means an organization, company, or entity that subscribes to and uses the Mercury 360 Co. to manage its recruitment and related operations.
  • Company Users means administrators, recruiters, hiring managers, and employees who are authorized by a Tenant to access and use the platform.
  • Candidates means job applicants or prospective employees who apply or submit personal information through a Tenant's Career Page or the Mercury 360 Co..
  • External Collaborators means third-party individuals, such as guest recruiters or consultants, who are invited by a Tenant to assist in recruitment activities.
  • Website Visitors means individuals who access the Mercury Recruit marketing website for information, inquiries, or service interest.
  • Users collectively refers to all of the above categories: Tenants, Company Users, Candidates, External Collaborators, and Website Visitors who interact with the Mercury 360 ATS or the marketing website in any form.

By accessing or using Mercury Recruit, related applications, or the marketing website, Users agree to this Privacy Policy and authorize Mercury 360 Co. to handle their information in accordance with it.

Information We Collect

We collect information necessary to operate, maintain, and improve our services, This includes:

  • Identification Data: Name, email address, phone number, postal address (if provided), user credentials (hashed passwords), and role or designation.
  • Employment and Recruitment Data: Resume and cover letter contents, education history, work experience, skills, professional qualifications, interview records, and assessment results.
  • Company Data: Organization name, department structure, contact information, and branding materials.
  • Communication Data: Emails, messages, comments, evaluations, and feedback shared within the system.
  • Technical Data: Device and browser information, IP address, login timestamps, and activity logs.
  • Integration Metadata: Data from optional integrations such as LinkedIn, Google, Microsoft 365, and DocuSign, collected only upon User authorization.
  • Website and Analytics Data: Information obtained through cookies and analytics tools for security, performance, and service improvement.

How We Use the Information

We use collected information for the following purposes:

  • To provide, operate, and maintain the Mercury 360 Co. and related services.
  • To manage recruitment activities, including job creation, candidate evaluation, and onboarding.
  • To facilitate communication between Tenants, their Users, and Candidates.
  • To generate analytics and reports on recruitment and platform performance.
  • To improve system functionality, maintain security, and detect misuse.
  • To support AI driven features such as resume parsing, job description generation, and scoring.
  • To manage billing, subscription, and payment records.
  • To respond to inquiries, support requests, and marketing leads received through the website.

Data Retention

Data collected through Mercury Recruit or the marketing website is retained for a maximum of three (3) months from the date of collection or last activity, unless a longer retention period is required by applicable law or contractual obligation.

Deleted records remain in a temporary recovery state for up to 30 days before being permanently removed from active systems.

Security Measures

Mercury 360 Co. maintains administrative, technical, and physical safeguards to protect information from unauthorized access, alteration, or disclosure. These includes:

  • HTTPS/TLS encryption for all data transmission
  • Encryption and hashing of sensitive data stored at rest.
  • Role based access control and authentication management.
  • Continuous monitoring, logging, and audit reviews.

AI Features

Artificial intelligence features within Mercury Recruit, including resume parsing, scoring, and job description generation, operate exclusively within the platform. Submitted data is used only to support recruitment workflows and system functionality. Mercury 360 Co. does not share User or Candidate data with external AI providers for model training or unrelated purposes.

Integrations and Third-Party Services

Mercury Recruit may integrate with optional third-party services such as LinkedIn, Microsoft 365, Google, and DocuSign. Integrations are disabled by default and require explicit authorization from the User or Tenant.

Data exchanged with third-party services is limited to what is necessary for authentication or feature functionality. Mercury 360 Co. does not sell, rent, or trade personal data to unrelated third parties.

Cookies Policy

Mercury 360 Co. uses cookies to ensure the proper functioning of the Mercury 360 Co. and marketing website and to improve user experience.

  • Essential Cookies: Required for login, session continuity, and security.
  • Analytics Cookies: Collect aggregated usage data for system performance and optimization.
  • Marketing Cookies: Used on the marketing website for lead management and campaign analysis.

Requests related to recruitment data should be directed to the relevant Tenant. Other requests may be submitted directly to Mercury 360 Co. using the contact details below. Requests will be verified and addressed within a reasonable timeframe.

Payment Information

Payments for Mercury Recruit subscription plans are processed through secure third-party payment processors such as Stripe or authorized regional payment partners. Mercury 360 Co. does not store complete payment card details. Only transaction metadata and verified billing records are retained for up to three (3) months for accounting and compliance purposes.

Changes to This Policy

Mercury 360 Co. may update this Privacy Policy from time to time to reflect legal, regulatory, or operational changes. Updated versions will be posted on the Mercury Recruit website, and material changes may be communicated to Users. The “Updated on” date indicates the most recent revision.

By using Mercury Recruit, any related applications, or the marketing website, Users acknowledge that they have read and understood this Privacy Policy and consent to the collection, use, and processing of their information as described herein. Continued use of the services constitutes acceptance of this Privacy Policy.
